Billing, Refund & UAE VAT Policy

1. Contracting Entity & Scope

This Billing, Refund & UAE VAT Policy forms part of the Terms of Service between your organisation ("Customer", "you") and Vettara Technology FZ-LLC (RAKEZ Services Licence No. 47031944, E-Commerce Licence No. 45035757, Media Licence No. 17008618; engineered and developed by Waggle FZE, SPCFZ Licence No. 4432420.01). It governs all online subscriptions, enterprise order forms, search allowances, tax treatment, cancellations, and refund requests on Vettara Search.

2. Subscription Plans & Search Allowances

Paid access, seat allocations, email-finder credits, search-run allowances, and plan features are published on the Pricing page or specified in a signed Enterprise Order Form:

• Growth Plan (Monthly): USD $275.00 per month before tax, shared across up to 10 workspace seats, including 20 AI Director search runs per organisation per paid monthly cycle and 100 email-finder credits per seat per month.
• Growth Plan (Annual): USD $2,640.00 per year before tax (equivalent to USD $220.00 per month, a 20% annual discount), billed upfront annually, with 20 search runs per organisation refilled each monthly cycle.
• Enterprise Plan: Custom seat counts, search allowances, and dedicated support governed by a mutually executed order form or commercial invoice.

Unused monthly search runs and email-finder credits do not roll over to subsequent months unless expressly stated in an Enterprise Order Form.

3. UAE Value Added Tax (5% VAT) & Indirect Taxes

In accordance with UAE Federal Decree-Law No. 8 of 2017 on Value Added Tax and its Executive Regulations, supplies of electronic and software-as-a-service (SaaS) subscriptions originating from or consumed within the United Arab Emirates are subject to UAE Value Added Tax at the standard statutory rate of 5%, unless zero-rated or reverse-charged under applicable cross-border B2B tax rules:

Final applicable VAT, sales tax, or GST is calculated and displayed clearly in Stripe Checkout prior to payment confirmation based on your billing country and business tax registration details. Customers are responsible for any applicable withholding taxes or bank wire fees, which must not reduce the net amount payable to Vettara Technology FZ-LLC.

4. Transparent Auto-Renewal & Frictionless Cancellation

To ensure uninterrupted access to active executive search projects, online subscriptions automatically renew at the end of each selected billing interval (monthly or annual) at the then-current rate disclosed at checkout unless cancelled prior to the renewal date.

• No Dark Patterns: You may cancel your subscription at any time directly through your workspace billing settings or by emailing support@vettarasearch.com at least 24 hours before your next renewal timestamp. We do not impose phone-only cancellation hoops or early-termination penalties.
• Effect of Cancellation: Upon cancellation, your workspace retains full access to paid features and remaining search allowances through the end of the current paid billing period, after which the subscription will not renew.

5. Refund Policy & Statutory Rights

Because Vettara provisions dedicated compute, live search execution capacity, and third-party data verification immediately upon subscription activation, subscription fees are generally non-refundable once a billing period has commenced and search runs have been executed. However, in compliance with UAE Federal Law No. 15 of 2020 on Consumer Protection and UAE Federal Decree-Law No. 14 of 2023 on Commerce Through Modern Means of Technology, Vettara grants full or pro-rata refunds in the following circumstances:

• 48-Hour Unused Subscription Grace Period: If you purchase a new initial online subscription and request cancellation within 48 hours of payment and your workspace has executed zero (0) search runs and exported zero (0) candidate records, we will issue a 100% refund of the initial charge.
• Duplicate Charges or Billing Errors: Any duplicate charge, overcharge, or charge processed after a timely written cancellation request will be refunded in full within 5–10 business days.
• Material Service Defect or Prolonged Unscheduled Outage: If a verified platform defect prevents core search execution for more than 72 consecutive hours and we are unable to restore service or provide a workaround within 5 business days of your written notice, you may request a pro-rata refund for the affected unused period.
• Mandatory Statutory Rights: Nothing in this policy excludes or limits any mandatory refund or cancellation right that cannot be waived under applicable UAE law or the laws of your jurisdiction.

How to Request a Refund & Chargeback Prevention: Before initiating a payment dispute or credit-card chargeback with your bank, please contact support@vettarasearch.com with your account email, invoice number, and reason for the request. We review all billing inquiries within 2 business days and process approved refunds directly back to the original payment method via Stripe. Unfounded chargebacks initiated without prior contact may result in immediate workspace suspension pending resolution.

6. Payment Processing & Security

Online checkout and recurring subscription billing are processed by Stripe, a PCI-DSS Level 1 certified payment processor. Vettara Technology FZ-LLC does not store raw credit card numbers or CVV codes on its servers. Failed or overdue renewal payments may result in temporary suspension of paid search allowances until payment is settled.
