Notetaker and Meeting Privacy Notice
Last updated: 14 July 2026
1. Scope
This notice applies when Vettara users connect calendars, link meetings to projects or candidates, upload or sync meeting artifacts, or use notetaker features. It supplements the Privacy Policy and Data Processing Agreement.
2. Meeting Data
Meeting data may include calendar event metadata, meeting title, time, organizer, attendees, meeting URL, provider identifiers, transcript text, notes, summaries, action items, project links, candidate links, and audit events.
For Google connections, Vettara reads primary-calendar events, Google Meet metadata and transcript entries, and Google Meet-created notes files attached to the relevant event. Vettara does not use the connected Drive permission to browse unrelated files. See the Privacy Policy for the full Google user data disclosure.
3. Consent and Notice
Customers are responsible for providing legally required notices and obtaining any required consents before recording, transcribing, uploading, summarizing, or sharing meeting content. Vettara should not be used to secretly record or transcribe meetings. Bot-based recording must remain disabled unless participant notice and consent workflows have been approved for the relevant market.
4. Use of Meeting Content
Vettara uses meeting content to help users organize notes, summarize discussions, extract action items, and connect recruiting context to projects or candidates. Users must review generated summaries before relying on them.
5. Retention and Deletion
Meeting records follow the Data Retention and Deletion Policy. Customers can delete meeting artifacts where available, subject to backups, audit logs, legal holds, billing records, and security needs.
